The email client may seem dated like a flip phone, but it’s actually a great way to organize your email. If you’re looking for a way to be more productive, a native Windows email app might be what you want.
I have been using the Microsoft client for about 15 years for work and personal use. Most of them are easy to set up: download the software, connect your email, and choose your options. And you can connect multiple email accounts to one app, so you don’t have to go back and forth between different apps. Some clients are even designed to help you increase efficiency with built-in productivity tools and integration options.
But Microsoft isn’t the only game in town. Depending on how you want to use email, there is a Windows email client for any situation. For this article, I tested several Windows email clients – and here are the seven best.

I began my research by defining categories and clarifying what criteria I wanted to meet. This is the most important thing when I test all desktop email clients.
With the criteria identified, I then looked for a mail client for Windows that has a very broad customer base. I went around each vendor’s website to check the features and support they offered. For support, I would like to know if there are new answers to forum questions (a good support chat shows an active user community and a better chance of getting your questions answered). From there, I downloaded every client that met my criteria and had an active support community.
I make notes on ease of setup and use for each client. For example, some clients require two clicks just to create a new email, so I mark them as not user-friendly (tough crowd here!). For customization, I set up and tested several elements such as the theme, the look/feel of the inbox, alerts, and options for handling mail such as filtering. I test and document the productivity tools that make some clients better than others. And, if the client has integration capabilities, I connect it and use it with popular applications like Zoom.

EM Klien’s modern and intuitive user interface makes it a joy to use, but it may not appeal to everyone. Fortunately, you get a variety of themes and the ability to customize almost every aspect of the UI to make it your own.
To start, choose a format: message at the bottom, right or off. Common actions like reply, forward, archive, and more are located at the top of the inbox, but you can add, remove, and rearrange what’s displayed here by clicking right on any of the tasks. On the right, you’ll find a list of previous emails with that address so you can easily find past conversations.
For most UI settings, go to Settings > Appearance > Themes. Click on your theme, then select Theme Editor. Want to change the hover button from blue to purple? No problem. Spinning wheels, progress bars, links, and other elements can be changed with just a few clicks.
A handy sidebar shows contact information, past conversations, agendas, calendars, and any invitations you have. These items can also be rearranged and deleted. If you want to add a task to your agenda, click the check icon in the sidebar, enter a note of the task, and then select a date set with a reminder. eM Client also added video meeting integration with Webex, Zoom, Microsoft Teams, and other providers, as well as chat integration with Google Talk, Jabber, and several others.

If you send many emails with the same message, the Quick Text feature allows you to create a template to fill the email group with a click. eM Client’s Achilles heel may not be a mobile app. But if you use another mobile app, eM can automatically sync with that app so your email is always up to date.

With Thunderbird, you can specify where your email is stored locally, schedule backups and manage server settings. It also provides some security features such as end-to-end encryption that are not found in other clients. Being open source, Thunderbird has a catalog of add-ons by various developers to improve the user experience. And it’s all free.
As for the mail application for Windows, it does not have the latest UI – it is modeled after the Mozilla browser, Firefox, and uses a tab system. But you wouldn’t choose Thunderbird for style points. Still, you have a choice. To view, click the hamburger menu in the upper right. From there, you’ll be able to customize the app’s appearance, select privacy settings, and select basic functions such as email composition options. Themes like Suave, Dark Fox, and Two Little Birds (above) will give your inbox a different look.
How To Write A Follow Up Email (backed By Research)
In my tests, the Thunderbird was a mixed bag for sending and receiving speeds. Emails are sent out almost instantly from my web-based Gmail account. But receiving email in the Thunderbird client takes from 10 seconds to several minutes.
Click Tools > Add-on Options to view the extensions available to get more out of Thunderbird. Smart Templates ($5/year) and Quicktext let you create email templates for quick responses. Send Later lets you schedule future times to send emails or repeat messages using rules like “every two days.”
One of the newest and easiest-to-use email clients I’ve tested, Mailbird’s various third-party integrations make it easy to manage the emails and apps you use the most.
